What is delivery management software?

Delivery management software is a platform that manages the full delivery lifecycle in one place: importing or creating jobs, planning routes, dispatching to drivers, tracking vehicles in real time, notifying customers of ETAs, and capturing electronic proof of delivery. It is sometimes shortened to DMS, and it is also sold as last-mile delivery software, since the last mile is the leg it manages. It sits between your order source (an ecommerce platform, ERP, or WMS) and the driver's phone.

It is not the same as route optimisation software

Route optimisation solves one problem, the sequence of stops. Delivery management covers the whole job from creation through to signed proof and reporting. Most businesses that start looking for route optimisation end up needing both, and it is usually more cost-effective to invest in one platform that does route optimisation and end-to-end delivery management than to stitch two together.

What else is delivery management software called?

You will see the same kind of platform sold as last-mile delivery software, dispatch software, courier management software, delivery tracking software, and delivery scheduling software. A proof of delivery app usually refers to the driver-facing half of one of these rather than a separate product.

None of those names is wrong. Each one describes the part of the job that vendor leads with, which is why comparing two platforms often means working out that they do the same thing under different labels.

The three below are the ones genuinely worth separating out. If someone has handed you a shortlist, this is how to work out which category each name belongs to.

Fewer failed deliveries

A failed delivery is the most expensive event in your operation. You pay for the trip twice, you handle the goods twice, and you often lose the customer.

Software reduces failures in two ways. Automated ETA notifications mean the recipient knows when to expect the driver, so more deliveries succeed first time. Structured failure reasons and driver-captured evidence mean the ones that do fail get diagnosed instead of guessed at.

A good dispatcher planning by hand will get close to optimal on a run they know well. The cost is not the quality of the plan, it is the time it takes to build, and how hard it is to redo when the day moves. Software does the same job in minutes, which is where fuel spend and end-of-shift overtime start to come down.

The problem is rarely the planner. It is that a plan built by hand is expensive to change, and delivery days change constantly. A customer rings at 10am and needs their drop moved. A driver has to take the rest of the day off. One site turns out to be closed. Every one of those means reworking a plan that took real effort to build in the first place.

Shared visibility only helps if everyone is reading the same words, though. What's in a name? When your dashboard says "Completed" but out in the field your team say "Delivered", there is a small but constant disconnect across dispatchers, drivers, and customers. An app your drivers will actually use

Every benefit above depends on one thing: the driver opening the app. Rollouts fail when the app is awkward, so this is worth more attention than it usually gets. A driver should be able to pick it up on their first morning and complete a delivery without anyone standing over them.

It also runs on the phone already in their pocket. GPS tracking comes from the handset, so there is no hardware to buy, fit, or maintain, and no per-vehicle device cost sitting underneath your subscription.

Jobs arrive on the app, and proof of delivery is captured there too: sign-on-glass signature, photos, GPS location, and timestamps, all attached to the job and in your dashboard the moment it is done. How much does delivery management software cost?

The headline price matters less than the pricing model, because that is what decides whether the bill still makes sense in a year. There are three common ones, and two of them have a sting in them.

How to implement delivery management software

  1. Write down what you can, and accept you cannot measure everything yet

    Map every step from order received to proof filed. If you are on paper, you will not have on-time rates or cost per delivery, and there is no point pretending otherwise. Count the things you can: redeliveries last week, status calls in a day, hours spent planning. Month one in the platform becomes your real baseline.

  2. Choose a platform against your real constraints

    Fleet size, whether you use subcontractors, what you need to integrate with, which markets you deliver in, and whether drivers use company or personal phones.

  3. Run one route as a pilot

    Pick a route with a cooperative driver and a manageable stop count. Two weeks is enough to surface every problem you will hit at scale.

  4. Train dispatch and drivers separately

    Dispatchers need the planning and exception handling. Drivers need the app, and nothing else. Driver training that runs longer than 20 minutes is a sign the software is wrong for you.

  5. Review against your baseline at 30 and 90 days

    Compare month two and month three against month one, not against what you guessed at the start. Adjust service times and route templates based on what the reports actually show.

Common questions

What is the difference between delivery management software and route optimisation software?

Route optimisation plans the most efficient sequence of stops. Delivery management covers the whole job: creating and importing jobs, dispatching, live tracking, customer notifications, proof of delivery, and reporting. Route optimisation is usually one feature inside a delivery management platform.

Is last-mile delivery software the same as delivery management software?

In practice, yes. The two terms are used interchangeably by most vendors and buyers. "Last mile" describes the leg of the journey, the final trip from depot or store to the recipient, while "delivery management" describes what the software does with it. If you are comparing a last-mile delivery platform against a delivery management platform, you are comparing the same category.

Do small businesses need delivery management software?

Manual dispatch works while you are running a handful of vehicles on a predictable round. Once you are past that, the time spent coordinating by phone and spreadsheet usually costs more than the software does. The clearer trigger is failed deliveries: if you are running redeliveries every week, you are already paying more than a subscription costs.

Does delivery management software work with our existing systems?

Most platforms integrate with common ecommerce, ERP, and WMS systems, and offer an API and CSV import for everything else. Confirm your specific systems before you commit, and ask whether the integration is native or requires development work on your side.

How long does implementation take?

It depends on the size of your fleet and your team. A smaller operation can be set up and running real jobs within a day, since there is no hardware to install and jobs import straight from a spreadsheet. Larger organisations with multiple depots, more drivers, and formal change management processes should expect two to four weeks to embed it properly across every team and existing workflow. In both cases the software configuration is the quick part. The time goes on people and process.

Can it manage subcontracted or third-party drivers?

Some platforms can. Check whether subcontractors can be assigned jobs, whether they need their own licence, and whether you retain visibility over status and proof of delivery. This is a common gap, and it matters most for 3PLs and couriers.

Can I connect delivery data to AI tools like ChatGPT or Claude?
